Member Onboarding

ELOC are the first company to use TRH, so things are very likely not to be 100% right first time. It’s really important for ELOC, and for me personally, to understand what works well, what looks broken, where things can be improved, and even where I’ve added a feature that you think is a complete waste of time and adds no value at all!

One important thing happening over the next few days:

You will receive an email inviting you to TRH. The steps you need to complete within 24 hours of receiving the email are detailed below.

Phase 1 - Onboarding (2 minutes)

  1. Click on the link in the email to take you to the "Complete Your Details" page. Your username will be your registered email address.
  2. The page will open in your browser – your phone, tablet or computer will all work fine.
  3. ⁠Enter a password of your choice and complete the form.
  4. You will then be logged into ELOC’s site, powered by The Rehearsal Hub – congratulations!
  5. The login page is https://therehearsalhub.lovable.app. If you'd like to save it as a shortcut on your phone so it behaves more like an app, I can show you how to do this on iPhone. Alternatively, you can simply save it as a favourite or bookmark on any device.

Phase 2 - Exploring (5 minutes)

  1. Have a look around the dashboard and explore the information available.
  2. Browse the different menu options and get familiar with the layout. Some pages are optimised for mobile phones, while others may be easier to view on a tablet, computer, or by rotating your phone sideways.
  3. As rehearsals haven't started yet, some areas will naturally be blank, but you'll be able to see how the system is structured and what information will be available throughout the production.

Notes

  1. Please complete your onboarding as soon as possible. If you experience any issues, send me a direct message on WhatsApp, copy any error messages you see.
  2. The data within TRH is live and has been populated from audition forms and production information, so you may notice availability and other production-related information already present within the system.

Managing your availability

Knowing who is and is not available for a rehearsal is critical for any successful rehearsal period. To make a change to your availability:

  1. Log into The Rehearsal Hub
  2. Select Main Menu | My Availability.
  3. You will now be presented with a list of future rehearsal dates and the current status of your availability.
  4. Make the appropriate change by clicking on the new status. You can do this for more than one date at a time.
  5. Once you have made changes, click on the Save now button. (Mobile devices this will be at the bottom of the screen, for other devices, this will be at the top).
  6.  Click on Confirm and Save.
  7. The creative team will now get an email notifying them of the changes you made.
  8. NOTE: If your change is less than 24 hours before a rehearsal, you MUST direct message via WhatsApp Gemma Bowden.

Adding your personal schedule to your device's calendar

The Rehearsal Hub understands who you are, what rehearsals you have been called for and as well as you seeing your rehearsal schedule in the app, you can subscribe to this in your devices calendar. This is known as a calendar subscription. The notes here explain how to do this for an iPhone and for those using Google Android.

iPhone calendar

  1. Log into The Rehearsal Hub
  2. Select Main Menu | My Schedule
  3. Find the Add to your calendar button
  4. Select Apple, your unique URL will now be copied to your devices clipboard
  5. Open the iPhone calendar application
  6. Click the calendar options button
  7. Choose add Calendar Subscription
  8. Paste the URL and select Find
  9. Once confirmed, complete the setup
  10. NOTE: On some devices you will be asked for how often to refresh the calendar feed. We suggest every 6 hours is good enough, it's not often a change to your call list will change, it's what will be rehearsed is a little more variable
  11. NOTE: On Apple computers the process is almost the same (you've got this!)

Google based calendar

  1. Log into The Rehearsal Hub
  2. Select Main Menu | My Schedule
  3. Find the Add to your calendar button
  4. Select All other devices, your unique URL will now be copied to your devices clipboard
  5. On your computer open a web browser
  6. Go to your Google account and calendar page
  7. Click on the + button (bottom of the page where is says Other calendars) and choose From URL
  8. Paste in the URL from The Rehearsal Hub
  9. Click on Add calendar. Once saved, under other calendars your schedule will appear. On your Android phone, linked to your Google Calendar, the calendar subscription should soon appear. 

iPhone homepage shortcut

If you want to use the application without the browser user interface, you can save The Rehearsal Hub login page as a button on the homepage.

  1. Open a web browser on your iPhone or iPad
  2. Navigate to https://therehearsalhub.lovable.app/
  3. Once loaded (you don't need to log in) click on the Share icon (square with the up arrow)
  4. Scroll through the options and choose Add to Home Screen. The icon will now appear and your shortcut saved
